What's New
Youreka continues to prioritize the improvement and support of field and team workers with the launch of the Quantum Release. This release introduces various enhancements and features in the New Mobile App, including:
- Mobile Profiles
- Read-Only Forms
- Date/Time Formula Enhancement
New Features
Mobile Profiles
One of our main initiatives to increase the scalability of Youreka is the new Mobile Profiles feature. With this feature, Youreka Mobile Settings and Offline Data can be configured at the profile level, allowing for multiple user groups to have the Youreka Mobile app tailored to meet their needs. Everything from the Youreka Mobile Admin page (including Primary Object and New Form Buttons) can be customized for any profile in the org, creating limitless potential for leveraging the Youreka Mobile app across teams as well as individuals.
For example, say there is a utility company that has two distinct teams. Team 1 focuses on the inspection and maintenance of power lines, and Team 2 works on the inspection and maintenance of power boxes. Both teams use Youreka forms to guide their inspection, however, Team 1 completes their field service work with Work Orders and Team 2 completes their work with Service Appointments. After putting the members of both teams into their own Profiles in Salesforce, the Mobile Profiles feature can be used to create Mobile App Configurations for each team. Team 1 can have their configuration set up with their own New Form Buttons for their Work Orders, and Team 2 can have their configuration set up with their New Form Buttons for Service Appointments. Assigning these configurations to their respective profiles means that the two teams will no longer have to see each other's forms and buttons, and will no longer have to constantly switch between Work Orders and Service Appointments for their Primary Object on their Mobile Cards.
Benefits
- Many different Youreka Mobile Settings configurations per org rather than only one
- Customize what Forms, Fields, and New Form buttons are accessible for specific users
- Leverage Youreka across multiple teams in a company
- Choose which Object Records are synced to Salesforce when a user selects “Prep for Offline”
- Enable/Disable Check-ins and Distance Tracking for certain users
How to Setup
Note: Before activating the Mobile Profiles feature in a Production org, it is recommended that settings and configurations are tested in a Sandbox org.
Before setting up Mobile Profiles, the feature must be activated from the Mobile Admin Tab. When navigating to this page, a banner will appear notifying the user to review their Mobile Settings before activating. This is set up for admins to review all necessary data before activating the new feature, as to not impact any live users of the Youreka Mobile app. After activating, the setup process is ready to begin.
Then, a salesforce admin should navigate to the Profiles list in Setup. Make sure the Profiles in the list contain the relevant users, or create a new Profile and add the users who fit into that category. Each one of these profiles can have their own custom Mobile Settings applied to them.
After assigning users to their respective Profiles, the navigate to Youreka in Salesforce, and then to the Mobile Admin page. They will land on the Mobile Settings List page, and should only see one configuration called default. This is the org-wide configuration that had been in use in the prior version of Youreka. The app will continue using only one configuration for Youreka Mobile Settings, and admins can edit these settings by selecting Edit from the actions column.
For profile-level mobile configuration, select the New button from the top of the Mobile Settings List page. Apply any changes to the settings as needed. Click Save to create the new configuration. After successfully creating the new configuration, click Assign at the top of the Mobile Settings List page. Once reaching the Assign Profiles page, find the Profile for the group of users to which the new Mobile Configuration should be applied. Select the relevant Assignment button, choose your newly created configuration, and click Save. All users in that chosen Profile will now have their new settings in the Youreka Mobile app.
Read-Only Forms
This new feature is a true game-changer when it comes to the field-service experience, allowing users to view forms in a read-only state in both the New Mobile App and Web. The form enters this non-editable state if the read-only criteria was enabled in the template builder and the form has reached the submitted stage. This means that a user can open a form that was already submitted, but have no rights to edit or change any data on the form. When a form is in a read-only state, any field link answers will not receive updates from their related records.
Imagine this - a Clinic has reported that an Ultrasound Machine requires a repair. You are dispatched out to the site to complete an Asset Repair and are instructed to fill out an Asset Repair form with all the necessary information to complete the job, including adding pictures, signatures, and information regarding the defective Ultrasound Machine. A week later, you return to the clinic to complete a one-week assessment of the fix and open up the previously submitted Asset Repair form to review photos and information from the original visit. To meet compliance requirements, the form was moved into a read-only state when it was submitted previously so you have no ability to change data from the original visit but still have the ability to reference that information.
Benefits
- View data on forms without changing information
- Reference prior forms/inspections
- Meet an organization's compliance requirements
How to Setup
Navigate to Template Builder and select Properties. Click on the Read-Only Behavior route and select the behavior that is preferred. The options are Never, On Submit, or On Submit with Confirmation.Date/Time Formula Enhancement
In the Lumen Release, Youreka launched the ability to compare two Date/Time fields against one another. The comparison would allow users to generate the difference in Years, Months, Days, Hours, Mins, and Seconds. Since this release, there have been a few requests to enhance this feature to allow users to compare a Date/Time against the time a form was opened.
As part of the Quantum Release, Youreka has addressed these requests by introducing new variables for Date/Time comparison. These variables include the "First Form Open Time" and the "Latest Form Open Time." The "Latest Form Open Time" represents the most recent instance when the form was accessed by a user, either through the mobile app or web platform.
Benefits
- New variables to compare Date/Time against
- Calculate new durations based on user interactions with the form
- Track when and how many times a specific form may have been opened - this can help with reporting.
How to Setup
Just like it’s handled today, a user can add a Date/Time question on a template, go to create a custom formula, and see the new variables that have been added.
Additional New Features and Fixes

- Limit the number of photos that can be attached to a Photo/Attachment question on both the web and mobile. These limits will come in the form of both minimums and maximums, with a default maximum of 100.
