Youreka licenses can be managed from the Youreka Licenses tab in Salesforce. This tab can be found in the Youreka Lightning App, or can be found using the App Launcher in Salesforce. Note that after installing Youreka from the AppExchange, new customers receive a 30-day free trial of Youreka's premium features during which licenses are not necessary. After 30 days, you will need licenses in order to continue using Youreka's premium features.
On the Youreka Licenses tab, a Youreka administrator can review their license expiration date, and keep track of total number of Youreka licenses, license types, license assignments and available licenses.
License Types
Youreka offers many different license types for users. A brief description of each license type is offered below:
Template Builder
The Template Builder license is for users who are responsible for administering Forms to users. The Template Builder license grants a user the ability to design Form Templates in Youreka’s drag-and-drop template editor. Additionally, this user is capable of publishing templates and making them available to other users. It's helpful but not required for these users to be Salesforce Administrators.
Premium+Mobile
Youreka’s Premium+Mobile license is for users who will be completing Forms. These users can access Forms via the Salesforce desktop user interface from a web browser and the Youreka Mobile App on a mobile device.
Premium
Youreka’s Premium license is for users who will be completing Forms. These users are capable of accessing Forms exclusively via the Salesforce desktop user interface from a web browser. They do not have access to the Youreka Mobile app.
Community+Mobile
Youreka’s Community+Mobile license is for Salesforce Partner or Customer Community users who will be completing Forms. These users are capable of accessing Forms via the Salesforce desktop user interface from a web browser and the Youreka Mobile App on a mobile device.
Community Desktop
Youreka’s Community license is for Salesforce Community users who will be completing Forms. These users are capable of accessing forms exclusively via the Salesforce desktop user interface from a web browser. They do not have access to the Youreka Mobile App.
Add-On Feature Licenses
These features require additonal licensing and are not included in any of the Youreka Core License Types. Please contact your Customer Success Manager or Account Executive for pricing details. A brief description of each Add-On Feature license type is offered below:
Youreka AI
User access to image recognition, sentiment and intent analysis functionality
Custom Mobile App Branding
Customize the Youreka mobile app UI to match customer branding, including color scheme and logo
Advanced Doc Generation
Access to S-Docs document generation capability
Software Development Kit (SDK)
Extensible managed code, methods and documentation
Youreka OCR (Discontinued)
User can take photos in the Youreka Mobile Application and leverage OCR to fill in questions
Advanced Data Collection
Users will have the ability to utilize the Table Sections feature in template builder plus create and edit forms that contain tables.
Refresh License Information
After you purchase Youreka licenses, they are provisioned by the Youreka team, and will appear in your Salesforce environment within 24 hours. However, in the event you wish to see the licenses immediately after they are provisioned, you can click Refresh License Information on the Youreka Licenses tab. This button updates your licenses immediately.
Assigning Licenses With Automation or Data Loads
It is not uncommon for organizations to have hundreds or thousands of users that need the ability to use Youreka. At this scale, it is not feasible to manage user licenses from the Youreka Licenses tab in Salesforce. Instead, system admins can assign Youreka licenses to users through the use of Salesforce automation, or with a data load.
In order to accomplish this, it is firstly important to know that Youreka's licenses are no more than a picklist on the User object. This picklist is called Youreka License Type (disco__Youreka_License_Type__c), and it is created when you install Youreka into a Salesforce environment.
Picklist Values:
- Premium
- PremiumMobile
- TemplateBuilder
- Community
- CommunityMobile
Setting this picklist value is what provides the end user with their Youreka license. Therefore, if you intend to set up users with a data load, or if you have a programmatic method of creating users, consider adding the Youreka License Type picklist as one of the attributes that you set.
Considerations
- In order to assign licenses to other users, a Salesforce user must have the permissions in Salesforce to edit other users records.
- Searching for users on the licenses tab only searches 1000 users at a time. In order to search all users in an org with several thousand users, you may need page through several pages of search results, some with no results at all.
